Job Overview:

As a Trainee Procurement Executive, you will be responsible for assisting the procurement team in sourcing, purchasing, and negotiating goods and services essential for our organization's operations. This role offers a valuable opportunity to gain hands-on experience in procurement processes and develop skills in vendor management, negotiation, and supply chain management. Additionally, you need to ensure the delivery is made as per the requirement and manage all the things required for that, whether it’s vendor payable, LC request, advance requirement and moving the shipment to the required location.

Roles and Responsibilities:

  • Collaborate with key personnel: Work closely with relevant stakeholders to ensure a clear understanding of the company's specifications and expectations related to procurement needs and projects.
  • Supplier relationship management: Cultivate and maintain strong relationships with suppliers to negotiate the best prices, terms, and delivery timelines to achieve cost-effective and efficient procurement.
  • Procurement activities: Conduct procurement activities in accordance with established policies and procedures, adhering to local regulations and practices in different regions, to meet business and project requirements. Participate in negotiations with suppliers as necessary.
  • Risk identification and escalation: Identify potential procurement risks and take appropriate measures to mitigate them, promptly escalating issues to enable the organization to fulfill its obligations and maximize business opportunities while minimizing potential disruptions.
  • Vendor Payable management: Ensure timely and accurate management of vendor payments and implement necessary mitigation strategies to prevent escalations.
  • Shipment coordination: Expedite shipment execution with freight forwarders and logistics partners to ensure timely pick-up and delivery as per required timelines.
  • SCM reports and analysis: Prepare and provide regular SCM (Supply Chain Management) reports and analytical summaries for management, including weekly reports to all stakeholders concerning shipment and order status, foreign payables, and delivery receivables.
  • Procurement records and compliance: Maintain and update procurement records, including Order Processing Sheets (OPS), and generate reports on procurement and contract activities to meet organizational compliance requirements aligned with its regulations.
  • Handling urgent project deliverables: Demonstrate the ability to efficiently and effectively handle urgent and critical project deliverables.
  • Vendor performance evaluation: Evaluate vendor performance based on quality deliverables, financial stability, adherence to safety standards, and other established evaluation criteria. Keep an updated approved vendor record/list.
  • Special tasks: Undertake any special tasks assigned by the manager related to procurement and supply chain management.

Qualifications/Skills:

  • BSc/MSc Engineering, MBA in any relevant field (Supply Chain, and other relevant fields)
  • At least 1-2 years of prior experience in procurement, supply chain, or logistics.
  • Knowledge of sourcing and procurement techniques.
  • Project Budgeting and cash inflows/outflows.
  • Foreign Procurement.
  • International Logistics (Air & Sea).
  • National Logistics (Road, Railway & Air).
  • Commercial and Payment Terms.
  • MS Excel & MSGP hands-on Experience.
  • Negotiation and Communication Skills.
